Proofs


Pre-production proofs can be submitted via a PDF through e-mail or faxed.
There is no charge for a proof showing all individual products on the whole order. If you prefer you can just have a Trophies, Inc. person proof it for you.

Preparing the proof requires many of the same steps and expertise as actually engraving the item so the proof frequently is not available until the actual scheduled production date.
The Production date may be delayed if the proof is not approved quickly.
Customer must sign off on the proof before any engraving or personalization will be performed.

Repeat orders may not require a proof but the previous Logo version and text should be verified since it is easy to overlook changes since the last order.

Text entered on order pages will be formatted with a standard or font selected, centered, spaced and sized for the item. But the text will appear in Upper and Lower Case as entered in the text box on the product order page or attached electronic files. Enter [Logo Name] or [clip art] if selected at the top, center or bottom of the text at the location you want it to appear.

Pricing Errors


We reserve the right to modify the pricing provided with or without notice. We make every effort to ensure our pricing listed in our online catalog is accurate and a pricing change would only occur in the case where an error is discovered on a product. Major obvious pricing errors only will be adjusted. For example if a crystal shows a price of $5 when it obviously should be over $100, it would be adjusted. But if we accidently listed a $50 acrylic at $30 that would not be obvious it would not be adjusted but repeat orders later would be at the correct price. You will be notified of the pricing change and have the opportunity to cancel your order should this occur.

Pricing Discounts


We select and price our awards carefully to provide a quality award but within budgets.

We don’t offer inferior items since even if a low price is offered it will often result in disappointment.

We offer substantial discounts for quantity purchases since it also saves us production time and we get quantity discounts. This is only the case on like items purchased at the same time so discounts are applied based on each item, not the total order. If we have 50 like awards, the preparation and production time is much less per item so the savings are passed on. But if we have to order less than case amounts and prepare and setup for 50 different awards, there is no purchasing or production savings to pass on. The same applies if the same award is ordered 50 times throughout the year.

Some items we stock are discount priced low at any quantity so quantity discounts may be less. A similar item, different size or different color of the item may be priced higher if we don’t normally keep that variation of the item in stock.

Return or Refund


By ordering your awards from our company, you agree to these terms and conditions.

All Orders are provided on a Custom Basis. Each award is designed, assembled and personalized with engraving or digital printing, and once built it is non-returnable as it cannot be sold to other customers due to the custom nature of the item in question.If there is an error on engraving, printing or other personalization method utilized, that is due to an error on our part, you may request a return merchandise authorization to return the item within 6 months after the date your order was shipped or delivered and we will make any corrections at our expense with like or similar item as may be available. There is No Refund even if the engraving is due to an error on our part unless we are unable to replace the item. We will correct any errors, or re-engrave with the correction on a new item of similarity. Any spelling errors on the customers part are the responsibility of the customer. We can only engrave what we are asked to engrave and as a general policy we do no proof or spell check text submitted by a customer as there are valid reasons to mis-spell certain words.

If a return is authorized you will be issued a return merchandise authorization (RMA).

The RMA number must appear on the outside of the package being shipped back. Shipments received without an RMA will not be accepted by our shipping department and will be returned unopened to the sender. Any returns accepted by our company that do not follow the above procedure are subject to a 25% restocking fee. Any shipping charges assessed are non-refundable. The restocking fee and shipping charges will be deducted from the credit issued back to credit cards and/or any check refunds that are issued as a result of the return, before the credit is issued. The amount of the credit will be less the restocking fee and applicable shipping charges.

Deposits and Payment on Orders


All orders must be paid in full or prior to us filling the order. Established customers approved in advance may pay with a Purchase Order Number. Alternative payment methods available for immediate processing of your order include Visa, Mastercard, American Express and Discover Card Payments.

An order is not accepted unless you receive an order acknowledgement from us through e-mail or fax.

Returned Checks/Disputed Credit Card Transactions


There is a $35.00 returned check service charge, and/or allowable collection and payment fees as allowed by civil code. We do not accept a personal check or credit card payments to replace a check that has been returned. If a check is returned, the face value of the check, plus the $35.00 returned check fee may be paid by cashiers check. There is a $35.00 late payment fee for disputed credit card transactions that will be assessed for all disputed card transactions whereby a customer has not contacted us prior to contacting your bank. If there is an error on a transactions, you should always contact the merchant first as we can resolve the issue quickly, and without the hassle of a dispute. In addition, finance charges at the rate of 1.5% per month will be assessed on all disputed credit card transaction until payment is received in full.

Drag Engraving


Uses any true type font in any color. Art or logos can be used without digitizing if medium resolution, high resolution or line art.

Digital Printing (sublimation and laser transfer) just became a viable option within the last few years. Unlike silk screening, there are no complex setups or color separation needed so printing one or a few items with variable text is possible in full color.

For many items an attached gold, silver, copper or white metal plate is the best option. These are used for plaque and award plates and special 2″ circles for award medal inserts. There is also a white thick fiberglass reinforced plastic (FRP) used for color printed name badges. There is a growing number of gift items and awards designed for this process available.

This is a prefect choice for photos or document reproduction directly on the plaque plate instead of just a photo with a plex cover.

Exact color matching is not possible with this process but we make every effort to match colors. The colors are burned into the special surface so they are very durable and will not easily scratch or rub off. These items are for indoor use. Exposure to sun will fade the image quickly.

For large quantities of the same print, contact us for bulk pricing on many items as silkscreening or pad printing may be more economical.

Most digitally printed items will not require a set up charge depending on what is provided. Generally if you can print it in good quality on your printer, we can use it without an additional fee but it cannot be engraved on other items. If the image or logo is blurred or pixelated or extensive formatting of text is needed, an art charge will be needed to recreate the art, normally $55 for all but complex images. Shipping


If you are in the Dallas, Texas area, it is best to pick up your order at our showroom. This makes it easy to verify your order and prevents breakage during shipping. Shipping times vary depending upon distance from us. Most of our shipments go out using UPS Ground and FedEx Ground. The shipping map below is an estimation based upon UPS Ground Shipping. A signature is usually required at time of delivery. Faster shipping times are available during the checkout process. Local courier service is also available starting at about $35.

In order to offer unique items with infrequent demand and vast selections by size, color and sport, we are not able to stock all products offered. We do stock some of the items that sell frequently. Suppliers that offer quick shipping of small quantities are chosen that have a very high rate of product availability. Sometimes the supplier or our stock level may not be enough to satisfy your order. If that happens we will contact you immediately for similar product choices or the option to cancel your order. If choosing a special order item, you can have us verify availability before ordering. Use the “Sales – General Questions” email on the contact tab. We fabricate and assemble trophies and plaques and do the logo digitizing, artwork, drag engraving, laser engraving and digital printing in-house for quick and quality service. If you have a specific awards budget for an event, give us a call. We have access to many suppliers and can usually find something to fit your needs.

Normal Production Time


5 Business Days

One to Four Day Times listed on some product pages for stock items is by request subject to availability and additional charges listed below.
1 Day – Items listed as one day are normally in stock and can be personalized and available quickly but the quantity available may be limited.
2 Day – Items listed as two day are NOT normally in stock but usually available quickly from nearby suppliers within 2 days.
3 Day – Items listed as three day are NOT normally in stock but are usually available from nearby suppliers within 3 days.
4 Day – Items listed as four day are NOT normally in stock but are usually available from suppliers within 4 days.
5 Day – Standard Production time for items is at least 5 days not including shipping time including most stock and special order items.
6-9 Days – A few unique items require longer times due to supplier shipping location but are usually available.
10 Days – These items are hard to find so we list them but availability and shipping time is questionable. Contact us before ordering.

Special Production Time

If you have a last-minute need we may be able to help. We can usually complete all but very large orders of in stock products by the next day if needed. In a some cases, same day service is possible for small orders, especially for our current loyal customers.

Express 24 hour service (Same to Next BUSINESS Day)
Available on in stock items (1 Day) for $45.00 additional which can be selected from the delivery time pull down menu on the product page. Verify availability of item and production time needed before placing order. Orders placed by 12:00 noon can be ready by the end of the same day. Orders placed later will be ready as soon as possible the following business day but before 24 hours after the order was placed.

Priority 48 Hour Service (Next BUSINESS Day to Two BUSINESS Days)
Available on in stock items (1 Day) for $25.00 additional which can be selected from the delivery time pull down menu on the product page. Verify availability of item and production time needed before placing order. Orders placed by 12:00 noon can be ready sometime the following business day. Orders placed later will be ready as soon as possible but before 48 hours after the order was placed.

2 BUSINESS DAY PRODUCTION
Available on small quantities of in stock items (1 Day) for no additional charge by request which can be selected from the delivery time pull down menu on the product page. Orders will be ready before the end of the 2nd business day after the order is placed.

3 BUSINESS DAY PRODUCTION
Available on small quantities of in stock (1 Day) or 2 Day items for no additional charge by request which can be selected from the delivery time pull down menu on the product page. Orders will be ready before the end of the 3rd business day after the order is placed.

4 BUSINESS DAY PRODUCTION
Available on small quantities of in stock (1 Day), 2 Day or 3 Day items for no additional charge by request which can be selected from the delivery time pull down menu on the product page. Orders will be ready before the end of the 4th business day after the order is placed.

5 BUSINESS DAY PRODUCTION (STANDARD)
Available on most items except for very large orders and special orders listed as over 5 Day availability. Orders will be ready before the end of the 5th business day after the order is placed but as soon as possible.

Logo Reproduction Information for Drag Engraved Awards


There is a one time digitizing charge of $55 per logo and $25 to alter an existing logo or digitize a signature for engraved and lasered items. This can be added through the logo/clipart choices on any item using logos. Select choice #3. for $55 one time setup for logo with this order. You can upload digital files at checkout or email it later or supply a public link to a webpage. This will only be charged once in the “setup” column even if you buy multiple awards. To reorder later just use choice #2 for a current logo and the “setup” will not be charged again. If your company has purchased before, we will be happy to check to see if we have your current logo. The charge to engrave the logo on most items is included in the quoted price of the products along with 100 letters of text.

Preffered Files


These are the preferred file types to supply your logo artwork – see below for other options if these are not available. Art with outlines saved with coreldraw or adobe illustrator as an .eps, .pdf or .cdr file.(Corel Draw version x5 or before) .ai files will sometimes work but may loose features of the logo.

Almost any logo can be reproduced including low resolution jpg’s, business cards, letterhead or a copy of an award as long as you can read any text and distinguish shapes.

Just scanning an image or trying to use a low quality .jpg image will produce an inferior award. Logo artwork used for laser and drag engraving into various products must be in an acceptable format to ensure good quality results in the laser engraved image. The process used for laser engraving is different than the process used for printing on your printer. An Image that looks good on a printer, may not engrave well on a product. Printers can handle grayscales of artwork which creates a smoothing effect in the printed result. Laser engraving using a burning technique to burn the image into the product and thus burns each pixel, regardless of shade level found in grayscale images.
Your logo is recreated by tracing the low-resolution image with line art that can be reproduced in any size with sharp quality on a variety of different awards with various processes. If you have an .eps or .pdf line art file we can start with that but will still require digitizing to simplify layered objects, convert colors to dot or line patterns and enlarge spacing between objects to make the laser engraving legible.
Drag engraving will engrave only outlines, but all of them so .eps line art has to have the layers removed and hatch fill lines added to make objects and text appear filled in.

We can do wonders with low quality art but the best art available is desirable.

Convert fonts to curves as we might not have the font you used and can’t use MAC fonts so would not match your art. Select the PC format if it is an option when saving/exporting your art and/or formatting a cd/dvd or other media.

If you visit the showroom, we can also copy your logo from most SD, USB CD or DVD media or use a printed copy you have. Usually a letterhead or business card will work. Sometimes we can copy the image from an award or other product you have.

Most legible files can be used if that is all that is available including .jpg, .gif, .png, .bmp etc. Do not embed image files inside of word documents or other documents such as spreadsheets, rather provide the raw artwork file itself.

We can use a hyperlink to a web page graphic available to the public if you are authorized to use the logo.

Anything you can see on your computer screen can be used.

On a PC display the image as large as possible. Depress the “print scrn” key.

Open Accessories – Paint. Edit-Paste the image. Save as a bmp.

Program specific files that are not usable include quark, MS Publisher and other program-specific files.

The graphics in these can sometimes be “saved as” or “exported” from your application to a generic type such as pdf.

You may also be able to “copy” and “paste” it into Accessories-Paint and save as .bmp.
